Documentation & Verification Workflow

We maintain rigorous standards for verification and documentation. All necessary checks are completed before any placement proceeds.

Our Standards

Verification Before Placement

Every locum professional in our network has been through our verification workflow. No exceptions.

Identity Verification

Photographic ID and proof of address are verified for all professionals. Documents are checked and securely stored.

Right to Work

UK right to work is confirmed in accordance with current requirements. Documentation is reviewed and recorded appropriately.

Professional Registration

Where applicable, we verify current registration with relevant professional bodies (GMC, NMC, etc.) and check for any restrictions.

References

Professional references are obtained where applicable. We verify employment history and professional conduct as appropriate to the role.

Verification Process

How We Verify Credentials

1. Document Collection

We request all necessary documentation at the registration stage. This includes:

  • Valid photographic identification (passport or driving licence)
  • Proof of current address (utility bill or bank statement)
  • Professional registration certificates (where applicable)
  • Qualification certificates and transcripts
  • CV and employment history
  • Professional indemnity insurance (where required)

2. Document Verification

All documents are reviewed for authenticity and validity:

  • Identity documents are checked against fraud indicators
  • Professional registration is verified directly with issuing bodies
  • Qualification authenticity is confirmed where possible
  • Right to work documentation is assessed per current UK requirements

3. Reference Checks

Professional references are obtained where applicable:

  • References from recent employers or supervisors
  • Verification of employment dates and roles
  • Confirmation of professional conduct and competence
  • Any relevant performance or conduct issues

4. Ongoing Monitoring

Verification is not a one-time event:

  • Professional registration status is periodically rechecked
  • Document expiry dates are tracked and renewals requested
  • Any changes to professional status are recorded
  • Compliance records are maintained securely

Client-Specific Requirements

Some employers have additional verification requirements beyond our standard checks. These may include:

  • Enhanced DBS (Disclosure and Barring Service) checks
  • Occupational health clearances
  • Specific training certifications (e.g., safeguarding, BLS, ALS)
  • Immunisation records
  • Additional reference requirements
  • Site-specific induction or orientation

Where additional checks are required, we coordinate these with the professional and ensure completion before placement. Costs and timelines vary depending on the specific requirements.

Data Handling & Storage

Secure Storage

All verification documents and personal data are stored securely in accordance with UK data protection requirements. Access is restricted to authorised personnel only.

Data Retention

Compliance records are retained for the period required by relevant regulations and professional standards. Documents are securely destroyed when no longer needed.

Sharing with Clients

Verification information is shared with prospective employers only with the professional's consent and only to the extent necessary for the placement process.

Important Information

Requirements Vary: Verification requirements differ by role type, specialty, and employer. Not all checks apply to all placements.

Employer Responsibility: Final hiring decisions and employment responsibilities remain with the employing organisation. We facilitate placement but do not employ the locum professionals.

Regulatory Compliance: While we maintain rigorous verification standards, employers remain responsible for ensuring compliance with all applicable regulations for their specific setting.

Professional Responsibility: Locum professionals remain responsible for maintaining their own registration, insurance, and compliance with professional standards.
